Effective October 9, KP Southern California Region retention rules will apply limits in Microsoft Outlook to your aging emails and calendar entries. Email in your inbox folder will be purged after 90 days, while email in folders outside the inbox, including the Sent and Deleted folders as well as any folders you create, will be retained for 4 years. You can also extend the retention for any email you need to keep for longer.

These retention rules help KP manage information and costs more responsibly, reduce risk, and better protect our brand and reputation.

What to expect

On October 9 and over the week that follows:

Note: If any emails get purged that you intended to keep, you can recover them within 30 days [5]. (We recommend you prepare your Outlook account in advance, so this step won’t be needed.)

Upcoming information sessions

Join an Outlook retention rules information session [6] to learn more. During these sessions, you’ll hear about the changes happening to your Outlook email and calendar as well as your options for saving emails longer, and you’ll have the opportunity to ask questions about the upcoming changes.

These 30-minute information sessions occur weekly on various days and times beginning September 3. Add the meeting details to your calendar and join whichever session works best for you.

KP Supports COVID-19+ Members with Free Care Kit and Resources

Posted By Diana Schwam On In News | Comments Disabled

Kaiser Permanente launched a COVID-19 Home Prevention Support Program to help members who test positive for the virus. The national program, now rolling out in Southern California, provides information and resources on how to safely and effectively isolate and quarantine at home to prevent the spread of the virus.

During outreach at the time of diagnosis, care team members provide COVID-positive patients with the opportunity to talk with a trained representative who can help guide them on safe practices. If patients are interested, they voluntarily opt in to a phone coaching support program. They can call for information as often as desired during the course of their recovery, and they can also opt out of the program at any time.

If patients live in a multi-person household, they are informed of the additional opportunity to receive a free care kit. This generous supply of cleaning products, hand sanitizers, disposable masks, and other items will help prevent viral spread to other household members.

In addition to this national program, the Southern California region will soon roll out an optional supply purchasing program to support all members who test positive for COVID-19 or are being evaluated for the virus – including those who live in single-person households. They will have the opportunity to purchase essential household infection prevention products at a discounted rate from Cabinet, a direct-to-consumer health products company. Details coming soon.

Kaiser Permanente commits $63M to support contact tracing

As COVID-19 surges in California, a partnership will deploy workers to clinical settings, in coordination with local public health departments, to slow the spread.

Kaiser Permanente is committing $63 million to support California’s contact-tracing work in order to reduce the number of Californians who contract COVID-19. This support, in the form of charitable grant funding to the Public Health Institute [9], will create agile community health teams hired from within communities that have been disproportionately affected by COVID-19 to support the critical work of local public health departments.  This funding will also connect Californians in self-imposed isolation and quarantine with supportive services to assist with food, housing, child care, and other needs. E-Visit Milestone: More than Half a Million Visits in Six Months

Posted By Diana Schwam On In News | Comments Disabled

[11]

Kaiser Permanente Southern California members have completed more than 550,000 e-visits since January, 2020, marking a significant growth in patient utilization of virtual tools and visits.

E-visits provide treatment or clinical triage to members virtually, using symptom-based questionnaires. Kaiser Permanente members can access E-visits via kp.org or the KP mobile app.

Expanding E-visits to Meet Demand: a COVID-19 Silver Lining

Today, KPSC offers e-visits for common symptoms including sore throat, rash, and urinary tract infection. Our e-visit capacity was greatly expanded to meet the need for providing safe, effective care during the COVDI-19 pandemic. New types of e-visits were introduced for COVID-19 concerns, including guidance on antibody testing, limited diagnostic testing, and off work/school notes. This expansion is one of many “silver linings” that resulted when Kaiser Permanente pivoted to meet the challenges posed by the coronavirus surge. [12]

This virtual care tool replaces face-to-face appointments and improves the patient experience by providing more 24/7 virtual options, and greater care affordability.

Seven teams across KP – as well as the Ambulatory Care Re-Entry workstream from the “2-6-12: Our Path Forward” initiative – collaborated to build, launch, and expand our e-visit offerings.

As part of the multi-specialty work, sponsored by Ed Ellison, MD, executive medical director, SCPMG, the e-visits team is working with physicians across 11 different specialties to develop several new e-visits, focusing on mental health, women’s health, pediatrics, and much more.

For more information about e-visits, access the physician FAQs here [13], or schedule an e-visit via this link: kp.org/e-visits2 [14].

“There Are Angels Among Us”

On Monday, August 3rd, Blanca Alban was conducting her daily routine checks of the restrooms before leaving for the day. It was about 3:50 pm when she entered the men’s restroom at the Chester Medical Offices, and noticed a young man lying on the floor in one of the stalls.  His face was pale and he was nonresponsive.

Quickly, Blanca ran to get some help. She saw Christina Ortega, medical office assistant and temperature screener. As they ran back to the restroom, Christina told Amie Garcia, customer service representative, to initiate the emergency response page, “Nurse STAT” and “Dial 911.”

Christina immediately crawled underneath the restroom stall door to unlock it. Blanca wasn’t frightened but remained calm and stayed with the young man until the STAT Team arrived.

Charge Nurse Ryan Greenleaf administered oxygen and an IV containing Narcan. The STAT Team took other appropriate interventions, and the patient stabilized and became responsive. It was later determined this incident was a result of a possible self-administered drug overdose.

A Different Outcome
As it was late in the day when Blanca discovered the young man, there was a strong likelihood that no one would have gone into the restroom until the night crew arrived hours later. In that case, the young man might have faced a different outcome.

Blanca works for ABM, a Kaiser Permanente environmental services contractor, but is “very happy” to be part of the team at the Chester Medical Offices. She has worked at this facility for over 2 years and is highly regarded by the staff and physicians. Ryan Greenleaf stated, “Day in and day out Blanca does a fantastic job and always has a smile on her face. During what has become to be known as the ‘COVID Apocalypse of 2020,’ we have developed an even greater appreciation for her. She keeps us, our patients, and this entire MOB safe. She’s always wiping down chairs, cleaning doorknobs, wiping the stairwell handles, and everything else in between.  Yesterday was just another example of how truly blessed we are to have Blanca as part of the Chester Team. On that day, she truly was that young man’s guardian angel.”

Chester MOB STAT Team Members Include:
Christina Ortega, medical office assistant
Angelina Bermudez, medical office assistant
Sheryl Gaona, medical office assistant
Kimi Brewer, RT
Phil Dang, MD
Richard Ferrell, RN (DA)
Amie Garcia, Service Representative
Ryan Greenleaf, RN (Charge Nurse)
Jill Adams, RN

A message of gratitude to the people of Kaiser Permanente during this challenging time.

An important message from:

  • Greg A. Adams, Chairman and CEO, Kaiser Foundation Health Plan, Inc. and Hospitals
  • Edward M. Ellison, MD, Executive Medical Director/Chairman of the Board, Southern California Permanente Medical Group; Chairman of the Board and CEO, The Southeast Permanente Medical Group; Co-CEO, The Permanente Federation
  • Richard S. Isaacs, MD, FACS, CEO and Executive Director, The Permanente Medical Group; President and CEO, Mid-Atlantic Permanente Medical Group; Co-CEO, The Permanente Federation

As we enter the sixth month of the global COVID-19 pandemic, we want to take a moment to thank and salute the people of Kaiser Permanente who are passionately caring for our members and patients during this historic public health crisis.

Never before has the mission of Kaiser Permanente been so tested, and we are proud to say that we are able to meet this test because of the dedication, professionalism, and expertise of everyone who provides — directly and indirectly — the high-quality care and service that is at the core of that mission.

We know this time has not been easy. The challenges of the care environment are matched by struggles at home — keeping yourself and your family safe, making sure children get the education and support they need, and helping care for especially vulnerable friends and family.

We want you to know that Kaiser Permanente’s top priority is the safety of our patients and staff. Our evidence-based protocols in clinical facilities, distancing and hygiene guidance, and our efforts to ensure a reliable supply of personal protective equipment have helped minimize the risk of exposure for our staff members. We have increased our personal protective equipment supply by expanding our supplier base and working closely with our health care teams to develop and improve conservation efforts.

We will continue to support your safety and well-being. Please visit Here4You [18], our employee resource page, for updated information on this and other ways we are supporting the people of Kaiser Permanente. We are grateful to our exceptional teams and labor partners who have provided essential collaboration enabling us to come up with innovative solutions to unprecedented challenges.

When this pandemic is behind us, we will look back and take pride in how well we served our mission and each other. Thank you for everything you are doing to get us to that day. Please continue to take care of yourself and find the time to reflect on the positive difference you are making in the world.

Temporary Remote Work program extended to at least 12/31/20

As the COVID-19 pandemic continues to evolve, our top priority remains the health and safety of our employees, physicians, members, and the communities we serve. Last month, we announced an extension of remote work for all national functions, shared services, and regional employees currently participating in the Temporary Remote Work program. Today we are extending the work-from-home directive through at least December 31, 2020. More on the what, when, why, how here. [22]

Temporary Remote Work program has been extended

The Temporary Remote Work program has been extended to at least December 31, 2020.

An important message from:
Christian Meisner
Senior Vice President and Chief Human Resources Officer, Kaiser Foundation Health Plan, Inc. and Hospitals

Susan Bigcraft
Vice President of Administration and People & Leadership, General Counsel for Labor and Employment Law, The Permanente Federation

We made this decision based on the latest increase in COVID-19 cases and other important considerations, including the unknowns related to stay-at-home orders and the reopening of schools. Given the success of the Temporary Remote Work program and the ongoing COVID-19 response activities, it made sense to extend the program and further assess the situation at the end of the year. We will continue to communicate as the year progresses and we have more details.

It is important to know that Kaiser Foundation Health Plan and Hospitals, and Permanente Medical Group leaders may deploy employees to a facility earlier, including those who do not typically work in clinical care settings, to support care delivery or other essential operations. At this critical time in the pandemic, it is important that we embrace an “all-hands-on-deck” approach to meet the needs of safely caring for our members, our people, and our organization in response to COVID-19. Your ability to serve in a role and to be deployed in a different capacity or facility enables our clinical staff to focus on critical clinical work and is vital to our ability to meet our members’ needs. Employees scheduled to return to a work location will be notified well in advance and provided detailed guidance.

Reshaping our future

In the weeks ahead, leaders across the organization will take a bold look at how we can create a new Kaiser Permanente, building on our experiences with remote work that have fostered innovation, flexibility, and strong business and member outcomes. To continue to grow and retain our position as a recognized leader in high-quality, affordable health care, it’s vital that we leverage what we’ve learned from these unique circumstances to transform our organization for the future. The decisions we make now will ensure KP is stronger, more nimble, and furthers our mission while redefining what it means to be a best place to work.

Coming soon: employee survey

As part of this effort, employees currently working from home will receive a survey about remote work to provide feedback on their current experience and make suggestions for enhancements that would make it more engaging and productive. We will share updates with you as this work progresses.

Take care of yourself

In the meantime, it’s important to remember to take care of yourself and others. Be sure to check out the variety of support services, including mental health and wellness resources and our employee assistance program, at Here4You [18]. For the latest employee information related to COVID-19, see insideKP [23].

Where possible, avoid nonessential activities that could create unnecessary risk for exposure. And, follow recommended precautions including physical distancing, regular hand-washing, and importantly, wearing a mask anytime you’re in public or at a KP facility (for work or a medical appointment).

Thank you all for your continued dedication as we support each other and our communities during this unprecedented time.
